How is my holiday calculated? (Staff)

Please check your contract for your personal terms and conditions in case they differ from the general rule.


Generally, full time employees have 24 days holiday plus 8 days bank holiday. You can also accrue up to 5 days extra holiday for each year of service. (Long service days).  The maximum total allowance is therefore 37 days holiday. 


BrightHR calculates holiday in hours rather than days. It does not allow 7.4 hour days so it rounds days up to 7.5 hours. This means a full time leave year is 240 hours (24 basic days plus 8 bank holidays) with the maximum allowed leave being 277.5 hours (24 basic days plus 8 bank holidays plus 5 long service days). 


Please note that your holiday will be calculated pro rata based on the hours you work. I.e. if you work part time and work half the hours of someone that works full time, you will accrue half the amount of holiday of the full time equivalent. 


Usually, we are unable to carry over any holiday from the previous annual leave year. However, due to Covid-19, we are able to carry up to one week into the next leave year. This will be calculated at the beginning of the next leave year which is why your holiday for the next leave year is lower than the current leave year.


Manual Calculation

BrightHR doesn't show how your holiday is calculated due to the complexity of the equations involved. If you would like to calculate your holiday for a full leave year manually, you can use the following equation:



Where:

A = Average weekly hours (remember to round up to the nearest half an hour)

B= Number of bank holiday days in the leave year

D = Days worked per week

= Long service years worked (Up to maximum of 5, rounded down to the nearest whole year)



Please note: This equation only calculates your entitlement for a given year from 1st April through to the next 31st March. This is only accurate where none of the above information will change throughout the leave year. If you change your average weekly hours or days worked per week, please speak to your line manager who will be able to explain your new entitlement.
