How should I be using OneDrive?

OneDrive is a personal place for you to store your own files. OneDrive cannot be accessed by anyone else; it is just for you. You can share a document or a folder with others if you wish. Otherwise, OneDrive is completely private. For those of you who have used the old servers, it’s like the Adviser Personal Folders but no one else can go in them this time!


OneDrive is not a place to download files from Teams and save them for your own use. While this may seem like a good idea, your documents will not update with the ‘live’ versions on Teams and you risk giving incorrect advice, improper recording of advice or following outdated procedures.


You should only store client information on your OneDrive when it is absolutely necessary. If you need to record the information, then it should be on Casebook. If it doesn’t need to be on Casebook, then don’t keep it at all. Periodically go through your OneDrive and make sure you don’t have any documents that shouldn’t be there so you can be GDPR compliant.

Very simply, if a document is to be used by multiple people, it should be on Teams. If it is a document just for you, then it should be on your OneDrive.
